After the April 16 Executive Board meeting, the Executive Committee discussed
the possibility of allowing the Administrative Assistant to work full-time
on a temporary basis. On May 18, 2004, NCLA President Pauletta Bracy informed
Caroline Walters that her contract would be extended to full-time for three
months, beginning May 24, 2004. This has given Caroline time to improve
the membership and registration databases by creating additional fields
(such as home or alternate address), drop-down menus, etc. and time to
work on a procedures manual.
On June 28, Caroline accepted a position with the State Archives and gave notice of her intent to resign as NCLA Administrative Assistant as of July 16, 2004. The Operations Committee created a job listing, advertised the position in the News and Observer on July 11, and made plans to hold interviews on July 28. The position is being advertised at 30 hours per week, as authorized by the Executive Committee. A copy of the job listing is attached. Hopefully a replacement can begin work by mid-August.
In the interim, Caroline has agreed to keep the membership process going. She recently mailed 278 renewal notices, so those renewals will need to be processed and deposits made. Peggy Quinn will check telephone messages and assist with mailings. Diane Kester will check emails and monitor the list serve. Arrangements have already been made to have Tar Heel Libraries shipped to the mailing company. The 2004 conference registration package is not due to be mailed until August 30.
The NCLA Personnel Manual was revised on February 14, 2002. At that time, the Administrative Assistant's hours were reduced from 30 hours per week to 25 hours per week. Vacation leave and sick/personal leave time were also reduced accordingly. Now that the Executive Committee has authorized the position to be advertised at 30 hours per week, the Operations Committee requests approval to change the vacation and sick/personal leave time from a rate of four hours per month to six hours per month. Also, the Administrative Assistant should be paid for six hours per day on holidays observed by the State Library.
