OPERATIONS COMMITTEE
REPORT TO THE EXECUTIVE BOARD
July 16, 2003
Both Caroline Walters and Irene Laube have been attending meetings of the NCLA Biennial Conference Committee and making preparations for conference registration. Caroline has also been preparing minutes of the meetings and the registration form and brochure.
A performance evaluation was conducted for Administrative Assistant Caroline Walters
The insurance agent who handles the employee dishonesty bond called to say that the bond was due to expire on July 6. Since then, we have received an extension until August 1, along with some questions to answer about controls in place to avoid future claims. The agent seems eager to have our business and is preparing to seek a different underwriter if necessary.
Caroline submitted the following list of her activities for the past quarter:
1. Processed 305
membership renewals and new applications.
2. Prepared (with Teresa Wehrli's help) 900+ mailing to ALA members not part
of NCLA. We have just started to receive responses and have 6 new memberships
from this mailing thus far.
3. Prepared and mailed 512 renewal notices to April, May, June and July expirations.
4. Prepared and coordinated mailing of Tar Heel Libraries with ballot
insert for Executive Board election.
5. Assisted with count of election results.
6. Mailed two LAMS Ballots - one for change in Bylaws and other for elections
of officers.
7. Assisted other sections with mailing lists and labels for mailings.
8. Prepared notebooks and made arrangements in Chapel Hill for May 5 TNT workshop.
8. Conference Work - attended meetings, prepared registration form, registration
brochure.
Caroline asked me to thank everyone for their patience and understanding when she has not been able to handle their requests right away or has suggested that they do some of the work themselves. She said that everyone who has emailed or called has been really nice about it.
She asks for continued patience through September since preparation for the Conference is extremely time-consuming. In addition, once her graduate school classes begin on August 20, she won't have as much free time.
Also, Caroline said she would like for Executive Board members to pass this information on to people from their sections who are preparing for the conference.
I think I did some other mailings - but can't recall them right now and don't want to spend the time going through my filings of completed stuff to find them - sorry.
